AI Prompt Engineering for Business: Getting Great Results from Claude Every Time
The difference between AI that occasionally produces useful outputs and AI that reliably produces excellent outputs is almost always in the prompt. This guide covers the prompt engineering principles that produce consistently great business results from Claude — informed by SA Solutions’ experience across hundreds of client implementations.
The Five Principles of Effective Business Prompts
Principle 1: Be specific about the output, not just the task
Weak prompt: Write a proposal for a new client. Strong prompt: Write a 3-section proposal introduction for [Client Name] at [Company], a 200-person financial services firm. Section 1 (Our Understanding, 150 words): reflect their stated challenge of [challenge] using their exact language. Section 2 (Our Approach, 200 words): describe our recommended approach of [approach] in concrete, non-jargon terms. Section 3 (Why Us, 100 words): reference our [case study] as the most relevant demonstration of our capability for this client. Tone: confident, specific, no marketing superlatives. The specific output description produces specific output; the vague task description produces generic output.
Principle 2: Provide the context Claude cannot infer
Claude knows nothing about your specific business, your clients, or your industry context unless you tell it. Every business prompt should include: the relevant background (who is this for, what is their situation), the relevant constraints (length, format, tone, what to include and exclude), and any specific examples or data to reference. The prompt that assumes Claude knows your standard proposal format, your brand voice, or your client’s background will produce generic output; the prompt that provides these as context produces specific, relevant output.
Principle 3: Specify the role and expertise level
Beginning a prompt with You are a [specific expert role] with [relevant experience] sets the output register and expertise level. You are a senior management consultant specialising in operational efficiency for professional services firms produces different output than You are a helpful assistant. The role specification is not window dressing — it changes how Claude frames its analysis, what vocabulary it uses, and what level of expertise it assumes in the reader.
Principle 4: Request structured output explicitly
For business applications where the output will be parsed, displayed in a UI, or used in a downstream workflow: specify the exact output structure required. Return your analysis as a JSON object with these exact keys: [list keys]. Or: Format your response with exactly these sections and headers: [list sections]. The structured output specification prevents the creative formatting variations that make AI outputs inconsistent — and inconsistent outputs are harder to use in business workflows than slightly lower-quality but consistent ones.
Principle 5: Include quality criteria
Tell Claude what good output looks like: Each bullet point should be at least 2 sentences with a specific example or data point — no generic statements. Or: The situation analysis should be specific to this client’s industry and stated challenge; avoid any sentence that could equally apply to a different client. Quality criteria that define what good looks like reduce the variance between the excellent outputs and the mediocre ones — pulling the average up toward the best.
Prompt Patterns for Common Business Use Cases
The proposal generation prompt
System prompt: You are a senior account manager at [company name]. Write proposals that are specific, client-focused, and value-framed. Never use generic phrases like 'best-in-class' or 'synergies.' Every claim should reference the client's specific situation from the brief. User message: Write [section name] for a proposal to [client name]. Discovery notes: [paste brief]. Length: [target]. Format: [prose/bullets]. Specific requirement: [any additional instruction]. The combination of a well-crafted system prompt and a specific user message produces consistent, high-quality proposals across all account managers who use the system.
The report narrative prompt
Prompt: Write the executive summary for [Client Name]’s [Month] performance report. Data: [paste metrics]. Format: (1) The headline result in one sentence – the most significant change this month and its direction, (2) Three contributing factors – one sentence each, specific to the data, (3) The primary recommendation – one specific, actionable recommendation for next month. Tone: direct and specific; avoid words like 'significant,' 'notable,' or 'impactful' without a number to back them up. Every statement must be grounded in the data provided.
The email response prompt
Prompt: Draft a reply to this email [paste email]. Context: [brief description of the relationship and situation]. My intended response: [1-3 bullet points of what I want to say]. Tone: [professional and warm / direct / diplomatic]. Length: [short/medium – no more than 3 paragraphs]. Do not start with 'I' or 'Thank you for your email.' The intended response bullets prevent Claude from deciding what you want to say; it is deciding how to say it — the appropriate division of labour.
Improving Prompts: The Refinement Process
A prompt is never finished — it is only at its current best. The refinement process: run the prompt 5 to 10 times on different inputs; identify the outputs that are excellent (analyse the prompt characteristics that produced them) and the outputs that are poor (identify what in the prompt produced the failure mode). Add the analysis to the prompt as explicit instructions: the excellent outputs use specific examples — add require a specific example for each point to the prompt. The poor outputs are too long — add maximum [N] words to the prompt. Each refinement cycle raises the floor of the output quality distribution; over 5 to 10 cycles, the average output approaches the quality of the best initial outputs.

How long should a business prompt be?
The right prompt length is whatever is required to specify the output precisely — not longer for the sake of completeness, not shorter to save tokens. Most effective business prompts are 100 to 400 words. Below 50 words: the prompt is probably too vague to produce consistent output. Above 600 words: the prompt may be overspecified, reducing Claude’s ability to apply judgment where judgment is appropriate. Exception: prompts for complex analytical tasks or sophisticated document generation may legitimately be longer.
Should I include examples in my prompts?
Yes — for complex formatting requirements, desired tone, or specific analytical approaches that are hard to describe. Include 1 to 3 examples of the desired output (called few-shot examples in AI terminology). The example gives Claude a target to match that is more precise than any description. Caveat: examples bias the output toward the example pattern — if your examples are not representative of all the input variations you will encounter, the prompt may produce excellent outputs for inputs similar to the examples and worse outputs for different inputs. Use examples for consistent-format outputs; rely on description for variable-format outputs.
