  4. Fourteen days after: a firmer message and a notification to a team member.
  5. Beyond that: a person takes over.

Adjust the timing to your payment terms and clients. Check your contracts for what you are entitled to and take advice on late-payment provisions in your jurisdiction.

Working with the accounting software you already use

You do not have to replace your accounting system. A common approach is to keep it as the source of truth for the books and add a layer on top that handles the client-facing parts: payment links, reminders, status and dashboards.
