AI can read invoices faster than anyone, but your reviewers decide what is right. Here is a safe way to put it to work.

Accounting practices spend a surprising amount of time on one repetitive task: reading documents and typing what they say into another system. Invoices, receipts, bank statements and forms arrive in every format, and someone has to turn them into structured data.

AI document processing can do much of that reading. It is one of the most practical uses of AI in a practice, and also one where accuracy and confidentiality matter a great deal. This guide shows how to use it safely, where the time savings come from and where humans must stay in charge.

The workflow that works

  1. Upload. The client or staff member uploads documents to a secure place.
  2. Extract. The system reads the document and proposes the data.
  3. Review. A person sees the original beside the extracted fields and confirms or corrects.
  4. Approve. Confirmed data is saved against the right client and period.
  5. Export. The data is passed to your accounting or tax software.
  6. Log. Every step records who did what and when.
The golden rule: show the source document next to every extracted value. Reviewers should be able to check a figure in seconds, not hunt for it.

Confidentiality and data handling

Financial documents are sensitive. Treat AI document processing as a deliberate decision:

  • Make AI requests from a secure backend, never from the browser, so provider keys stay private.
  • Send only what is needed for the task.
  • Read the AI provider’s data terms, including retention and training, before sending client documents. They differ between providers and plans.
  • Restrict access so staff see only the clients they work on.
  • Keep an audit trail of every extraction and edit.
  • Check your professional and data protection obligations, including where data is processed.

Where the savings come from

Savings come from removing typing, not from removing review. Count the minutes per document spent on manual entry, multiply by monthly volume and compare with the time review takes.
