Accounting · Tax Season Prep
The rush is a few months away. Build the system now, test it with real clients and head into the season in control.
Tax season is a few months away, and every practice knows how it goes: documents arrive late and in every format, clients ask where their return stands, and the team spends evenings chasing paperwork. The time to fix that is now, before the rush, not in the middle of it.
A client portal gives clients one place to upload documents, answer questions and see progress. This checklist covers what to include, how to launch it without overwhelming clients and why starting in October matters.
Why build before the rush
- Deadlines are fixed. For example, UK Self Assessment online returns are due by 31 January, and US individual returns are generally due in mid-April. Check your own local dates.
- A new system needs testing with real users. You do not want to discover problems in peak weeks.
- Clients need time to learn it. Introducing a portal in the busy season creates friction.
- A quiet period is the best time to build, test and train.
The portal checklist
| Feature | What it solves |
|---|---|
| Client login with a private area | Each client sees only their own information |
| Document request checklist | Clients know exactly what is needed and what is missing |
| Secure upload | No more attachments in email threads |
| Automatic reminders | Staff stop chasing by hand |
| Status tracker | Clients see “received”, “in progress”, “ready for review” without asking |
| Questionnaire or organiser | Collect the same information from every client in the same format |
| Messaging | Questions stay attached to the engagement, not lost in an inbox |
| Staff dashboard | See who is waiting on what, and what is overdue |
How to launch it with clients
- Start with your most organised clients. They will give you useful feedback and become your advocates.
- Send a short guide. One page: how to log in, what to upload, who to contact.
- Make it the easiest route. If email is still easier, clients will keep emailing.
- Set a gentle cut-off. After a date, ask for documents through the portal only.
- Keep a human fallback. Some clients need a phone call. Make that easy too.
A realistic timeline
If you start in October, you can plan scope in the first week, build over several weeks, test with a few clients and be live well before the filing rush. A tight first version is the key. See what to cut before you build and realistic build schedules.
What to include in version 1, and what to leave
| Version 1 | Later |
|---|---|
| Login, document checklist, upload, reminders, status | Deep integration with your tax software |
| Messaging and staff dashboard | Mobile app |
| A simple organiser form | Advanced reporting and analytics |
Cost and first step
Builds start at $3,500, with the final quote based on the scope in your PRD, and typical launches take 2 to 6 weeks. The best first step is a Discovery Sprint: a $345 plan covering scope, user flows, architecture and cost, delivered within 24 hours and credited toward the build. See our cost guide for what moves the price.
Frequently asked questions
Will older clients cope with a portal?
Many will, if login is simple and a phone number is clearly offered. Keep the first screen uncluttered.
Can it connect to our tax or accounting software?
Sometimes. Integrations add scope, so list the essential ones for version 1.
What if we are already in the busy season?
Start with a small version for new clients or a pilot group, and extend it afterward.
Is it secure enough for tax documents?
It can be when roles and privacy rules are designed carefully and tested before launch.
